Sentinel RF is operated by Stolz Telecom LLC ("we," "us"). This policy explains what information we collect, how we use it, and the choices you have. It covers this marketing site (sentinelrf.ai) and the product application (app.sentinelrf.ai). Sentinel RF is a business-to-business service; we process most customer data on behalf of the operation that holds the subscription, as described in our Data Processing Addendum.
1. Information we collect
Account information
Name, work email address, role, and authentication data for each seat on an operation's subscription. Authentication is handled by an identity service we host on our own infrastructure; we never see or store your password in plaintext.
Customer content
Documents your operation uploads or forwards to its ingest email address, the questions your team asks, and the answers and calculations returned. This content belongs to your operation, is isolated per operation, and is used only to provide the service to your operation. We do not use it to train machine-learning models.
Usage and technical data
Request logs (endpoints, timing, status codes, and error traces), token counts for cost accounting, and per-seat usage statistics shown to your operation's admin. Our operational logs are designed not to record your document content or conversation text.
Billing information
Payments are processed by Stripe. We store your plan, seat count, and invoice history; full card numbers are held by Stripe, never by us.
Contact form
If you submit the contact form on this site, we collect the contact details you provide and pass them to our customer-relationship system to respond and follow up. This marketing site sets no advertising or analytics cookies.
2. How we use information
- To provide, secure, and support the service.
- To process billing and prevent abuse (including rate limiting).
- To send transactional email: sign-in links, receipts, payment notices, and service notifications. These are sent from the product domain and are part of operating the service.
- To send marketing email only where permitted, always from a separate sending domain and always with a working unsubscribe. We keep transactional and marketing email strictly separated.
- To improve the service using aggregate, de-identified usage data.
3. Model inference
Answering a question involves sending the relevant excerpts of your documents and your question to a large-language-model inference provider through a routing service. We require provider options with no-logging data policies, meaning prompts and outputs are not retained by the provider or used to train their models. Customers with requirements that data never leave a defined boundary can ask about our private deployment tier.
4. Where data lives and who touches it
The service runs on servers we manage, with uploaded documents stored in United States object storage. We use a small set of subprocessors (hosting, content delivery and storage, payments, transactional email, inference routing, and error monitoring); the current list and our commitments about them are in the Data Processing Addendum. We do not sell personal information, and we do not share customer content with advertisers or data brokers.
5. Retention
- Customer content and account data: for the life of the subscription, then retained 30 days after cancellation takes effect, then permanently deleted.
- Operational request logs: retained on a rolling window (currently 30 days) and then pruned.
- Billing records: retained as required for tax and accounting purposes.
- Contact-form details: until you ask us to delete them or the inquiry is clearly stale.
6. Security
Data is encrypted in transit. Each operation's library is isolated by tenant, and that isolation is enforced in the retrieval layer and covered by automated tests that run on every code change. Access to production systems is restricted to authorized personnel using key-based authentication. We never ask for, store, or use your manufacturer-portal credentials.
7. Your rights and choices
Operation admins can export their operation's data and manage users directly in the admin console. Individuals can ask us to access, correct, or delete their personal information by emailing [email protected]. If your request concerns data we process on behalf of an operation, we may refer it to that operation's admin, as our DPA requires. You can unsubscribe from marketing email at any time; transactional service email continues for as long as you hold an account.
8. Children
The service is for businesses and is not directed to children. We do not knowingly collect information from anyone under 16.
9. Changes
We will post any changes to this policy here and update the date above. For material changes affecting customer data we will notify account owners by email.
